Refund Policy

Introduction

 

Southwest United Sports Club understands the importance of flexibility and fairness in managing our registration fees. This policy details the refund conditions for our various youth programs, ensuring clarity and transparency for all members.

Refund Policy by Age Group

 

U5-U8 Programs

  1. Refund Eligibility:

    • Refunds are available up until 14 days before the program start date. No refunds will be granted within 14 days of the start date.

  2. Administration Fee:

    • All refunds are subject to an administration fee which will be deducted from the refund amount.

U9-U17 Programs

  1. Refund Eligibility:

    • Program fees are NON-REFUNDABLE except under special circumstances such as severe injury.

  2. Medical Consideration:

    • Prorated refunds may be considered for players who are unable to participate due to an injury. Supporting medical documentation must be provided to qualify for a refund.

  3. Administration Fee:

    • For those rare instances where a refund is issued, an administration fee will apply.

 

Non-Refundable Fees

  • Fees associated with uniforms, equipment, and special events are non-refundable as these costs are incurred based on initial registration numbers and are not recoverable to SWU.

 

Processing of Refunds

  1. Method:

    • Refunds will be processed to the original method of payment used at the time of registration.

  2. Timing:

    • Please allow up to 4 weeks for the processing of any approved refund.

  3. Request Submission:

    • All refund requests must be submitted in writing to the club's registration office. Please include all relevant documentation and explanation necessary to support the refund request.

 

Exceptions

  • Any exceptions to this policy due to extenuating circumstances outside of those listed (such as family relocation or extended illness) will be considered on a case-by-case basis, at the discretion of the club management.

 

Acknowledgment

  • All members are encouraged to review this policy at the time of registration. Registration with SWU constitutes acknowledgement and acceptance of this Refund Policy.
